READVERTISEMENT: INVITATION TO REGISTRATION OF SUPPLIERS FOR THE FINANCIAL YEARS 2026/2027 - 2027/2028

Heroes Technical and Vocational College invites applications from interested, eligible and capable individuals, firms and service providers for registration as suppliers and service providers for the financial years 2026/2027 and 2027/2028. The registration will cover the supply of goods, provision of works and services under various categories, including: Milk and dairy products Hospitality food and beverage materials, cutlery, cookery and kitchen equipment Games, sports uniforms, equipment and kits Electrical fittings, electronic materials and equipment Building, hardware and plumbing materials, fittings and accessories Textbooks, journals, digital materials and periodicals ICT accessories and related equipment Staff uniforms, protective gear, clothing materials, curtains, linens and upholstery Office furniture and related office fittings Firefighting equipment, training, repair, maintenance and servicing Repair and maintenance of computers, printers, photocopiers and related electronics Branded marketing and promotional materials Supply of alcoholic drinks for hospitality Petrol, diesel, gas and allied products Mechanical, welding and fabrication materials, tools, equipment and automotive items Graphic design and sign-writing works Small works and construction services Cleaning materials, disinfectants and detergents Stationery, pre-printed office stationery, toner, ink and cartridges Repair services for gas cookers, jikos and related equipment Fashion and design textiles, fabrics, clothing and knitting materials Asset maintenance, valuation, tagging, labelling and barcode services Website redesign, upgrading and maintenance Supply, installation and maintenance of CCTV cameras Internet cabling and internet connection services Sanitary bins, fumigation, pest control and related services Medical and insurance cover for students Event organizing services, including tents, chairs, decoration, catering and public address systems Students' identification cards Repair services for sewing machines The categories are open to eligible suppliers, with specified categories reserved for Youth, Women and Persons with Disabilities (PWDs) as indicated in the registration documents. Successful firms will be registered and may subsequently be invited to submit quotations through Request for Quotation (RFQ) documents as and when procurement requirements arise. Registration does not constitute a contract or guarantee of business.

Eligibility

Applicants must meet the applicable requirements for their category and submit all mandatory documentation. A. General Requirements Applicants should: Be legally registered in Kenya and provide a valid Certificate of Registration/Incorporation or relevant business registration document. Provide a valid KRA Tax Compliance Certificate. Provide a CR12 issued within the last six (6) months for companies. Demonstrate the capability, experience, qualified personnel, equipment and adequate financial capacity/working capital necessary to satisfactorily perform the required goods, works or services. Provide relevant professional registration certificates, licences, permits or practising certificates applicable to the particular line of business. Provide evidence of previous experience and satisfactory performance where applicable. Provide at least two (2) current recommendation/reference letters from reputable organizations previously served. Complete all prescribed registration forms and questionnaires in the registration document. Ensure that all submitted pages and attachments are serialised. Submit a duly completed and signed Sworn Statement confirming the accuracy of the information provided. B. Open Category For suppliers applying under the Open Category, the following are mandatory: Certificate of Registration/Incorporation. Valid KRA Tax Compliance Certificate. CR12 issued within the last six months. Certificate from relevant professional bodies/associations where applicable. Audited financial statements for the previous two years. Completed prescribed registration forms. Serialised pages of the registration document and attachments. Proof of EGP registration. Relevant licences, permits and professional certificates applicable to the category. Evidence of previous work/supplies, including relevant LPOs/LSOs or recommendation letters. The document further provides that suppliers under open categories should generally have at least two years' experience in the supply of goods or services. C. Youth, Women and Persons with Disabilities (AGPO) Eligible Youth, Women and Persons with Disabilities are encouraged to apply. Applicants under this category should provide: Certificate of Registration/Incorporation. Valid KRA Tax Compliance Certificate. CR12 issued within the last six months, where applicable. Valid AGPO Registration Certificate from the National Treasury. Duly completed registration forms. Serialised registration documents and attachments. Proof of EGP registration. Other applicable licences, permits and professional certificates. No previous experience is required for Youth, Women and Persons with Disabilities, although applicants must demonstrate competence, willingness and capacity to undertake the required assignment. Applicants should demonstrate that they have sufficient financial capacity to execute the contracts for which they are seeking registration. For the Open Category, applicants are required to provide their latest two years' certified/audited financial statements and relevant information concerning their financial position. For AGPO applicants, the registration document provides for a bank-certified letter of reference as evidence of their ability to execute the items applied for. Applicants should also indicate the maximum value of business they are capable of handling at any one time. Applicants should provide evidence of relevant previous assignments. The registration questionnaire requires details of at least four major supplies, services, projects or assignments undertaken during the previous three years, including the client, contact person, value and duration of the contract. Documentary evidence such as contracts, LPOs or other relevant supporting documents should be attached. Applicants are also required to provide at least two current letters of recommendation/reference from reputable organizations they have supplied goods, works or services to during the last three years. Applicants must disclose any relevant matters relating to: Bankruptcy, winding-up or insolvency. Pending or threatened litigation. Corruption or fraud investigations involving directors, partners or shareholders. Outstanding statutory obligations. Potential conflicts of interest involving employees or members of Heroes Technical and Vocational College. Previous litigation or arbitration. Any relationship or common control with another supplier. Applicants must also declare that the information submitted is accurate and that they will not engage in corrupt practices. Any canvassing, corruption or provision of false information may lead to disqualification or deregistration.

Submission instructions

Interested applicants may obtain the registration documents by downloading them from the College website or collecting them from the Procurement Office at Heroes Technical and Vocational College. A non-refundable registration fee of Ksh. 1,000 per category is payable through: EQUITY PAYBILL: 247247 ACCOUNT NUMBER: 598631 Payment should be made through the College's designated account and the applicable payment evidence should be retained/submitted as required. Submission of Completed Documents Completed registration documents should be: Fully completed in English and in indelible ink. Duly signed and stamped. Accompanied by all mandatory supporting documents. Properly serialised. Enclosed in a plain sealed envelope. Clearly marked with the Category Number and Category Description applied for. Closing Date Deadline: Friday, 4th September 2026 at 4:00 PM. Late submissions will not be considered. Important Notice to Applicants Registration shall be subject to evaluation by Heroes Technical and Vocational College based on the applicant's capability, experience, qualified personnel, suitability of equipment, financial capacity and ability to satisfactorily execute the required goods, works or services. The College reserves the right to request additional qualification information at the tender/quotation stage where necessary. Successful registered suppliers will be invited to participate in procurement opportunities through RFQs from time to time and as the need arises. Registration therefore does not guarantee the award of any contract or purchase order. Youth, Women and Persons with Disabilities are particularly encouraged to apply.
